Cox Media Group Long Island has an immediate opening for an Order Entry Specialist to assist in all administrative duties for Local Sales. The Order Entry Specialist will be responsible for providing customer support for a team of Account Executives by working closely with them to enter sales orders and production orders into their respective systems.  The Order Entry Specialist will interface with Traffic Department and Campaign Coordinators, entering orders from the start of the flight through the entire sales process, handling requests such as entering orders in our Wide Orbit and V-creative platforms.  This is a part time position for 25 hours per week Monday-Friday. 


PRIMARY POSITION RESPONSIBILITIES OF THE Order Entry Specialist:

  • Enter sales orders and production orders for radio stations on a daily basis by the deadlines
  • Interface with traffic department to ensure flawless entry of sales and productions orders
  • Interface with Campaign Coordinators to ensure sales orders (new and revisions) are entered accurately.  Also work with coordinators to ensure proper commercial creative is flighted
  • Interface with Production Department to meet any and all deadlines for log closure 
  • Interface with the Radio Sales Management and Traffic personnel to work through clearance issues; Will work with Account Executives and clients for approvals, as well as providing paperwork and documentation for Account Managers, clients and traffic for the make goods
  • Review orders as they are received and vet them for any rate or buying discrepancies before entering
  • Maintain client records, proposals/pending avails through filing, retrieval, retention, storage, compilation and updating on a consistent basis
  • Foster positive relationships within all departments, clients and the Account Managers


Qualifications

  • Extremely detail oriented and able to meet deadlines
  • Ability to maintain confidentiality essential
  • Ability to be trained in using Wide Orbit and V-creative systems 
  • Ability to compose correspondence as necessary 
  • Excellent interpersonal skills with ability to relate professionally with all levels of management
  • Strong written and verbal communication skills and organization skills, with attention to detail accuracy and follow-up
  • Able to work as part of a group, and with all levels of department personnel with tact and discretion
  • Ability to prioritize and complete tasks, with ability to work under pressure and meet deadlines
  • Previous sales/customer service/media experience preferred
  • Coachable
EDUCATION:
  • College Degree or minimum of 1 year’s equivalent experience in a sales or sales support role preferred.
